Cancellation Policy

Cancellation Policy: Occasionally, counselling sessions may have to be rearranged or cancelled. Below is our cancellation and refund policy; this policy applies to all our services. For late arrivals or missed sessions: In-person appointments: As appointments are booked for specific set times, we can not see you if you arrive outside of those agreed times. If you arrive early, we will ask you to wait until the agreed appointment time, while if you arrive late, we cannot extend the session to adjust for this. If you are more than 15 minutes late and haven’t contacted us, we will assume you are not coming; this will be considered cancellation without notice. Online/telephone appointments: For online/telephone sessions, we will call you (unless we agreed on something different) when the session is scheduled to start. If you don’t answer the first call, we will try again shortly afterwards. If this second call is also unanswered, we will ask you to contact us as soon as you can; however, the session will still run from the scheduled time. If you haven’t contacted us within 15 minutes of the scheduled starting time, we shall consider that cancellation without notice. Our chosen online and telephone software and hardware rarely fails and is chosen for its consistency; where there is a failure, we will aim to offer an appointment using alternative backup means. If the session does not go ahead as a result of client error or missing the session, we will normally charge for the appointment. Cancellations: We have a 48 hour cancellation policy, which means if you cancel an appointment over 48 hours in advance, we won’t charge you for it. If you cancel within 48 hours of the session, or if you fail to attend, you will need to pay for the appointment to compensate for time committed by the therapist. Exceptional circumstances: We acknowledge that emergencies can happen, although they are normally exceptional. If you are aware you could be unable to make an appointment, please inform us when booking the appointment. In certain circumstances, we will endeavour to be accommodating as appropriate. If a legitimate emergency situation stops you from attending (and from contacting us about cancelling), we may consider reducing or waiving the standard cancellation fee. If you repeatedly book and cancel appointments, we may ask for a non-refundable prepayment. For the purposes of maintaining an effective therapeutic relationship, such a payment would be considered non-refundable, even if the appointment was cancelled ahead of the normal 48 hour window. If we cancel: Very occasionally, certain circumstances may stop us from delivering an agreed-upon session. In this case, we will provide you with as much advance notice as we are able to. You will not be charged for appointments cancelled by our therapists or organisation. Further, we will endeavour to reschedule an appointment for a time that suits you.
